In October, Grantmakers in the Arts (GIA) partnered with AV Chicago to support their multi-day conference at the Swissotel in downtown Chicago. The conference brought together funders and advocates for the arts, offering an opportunity for discussion, networking, and learning through general sessions, breakout sessions, receptions, and even a film screening. AV Chicago delivered high-quality audio, video, lighting, and staging support throughout the four-day event to ensure an exceptional experience for all attendees. A core team of seven AV Chicago members supported the event throughout its duration, while five additional team members assisted only with load-in. 

Main Stage 

One of the most fascinating aspects of the event was the unique design of the main stage. Rather than choosing a traditional rectangular stage, AV Chicago built a triangular stage measuring 28’ x 12’, with the point extending directly into the audience for a more immersive experience. Two Theatrixx Nomad LED walls flanked the stage, offering dynamic, high-resolution visuals and clear sight lines from anywhere in the room. Initially, when the LED walls were installed, GIA felt they were not positioned high enough. To remedy this, AV Chicago adjusted the content to align with a higher placement, quickly resolving the issue without tearing down and rebuilding the wall to a different size, which wasn’t feasible within the timeline.

AV Chicago also improved the room’s visual appeal by incorporating scenic draping, seating, and plants to enhance its aesthetics. For audio, EAW AC6 column array speakers were suspended from truss towers rather than ground-supported, creating a cleaner look while enhancing sound coverage in the space. Everything was managed through the Yamaha QL series console, and Shure Axient wireless microphones were utilized, which are well known for supporting prominent events and musical tours. 

AV Chicago utilized three Panasonic PTZ RoboCams for live switching and playback, ensuring high-quality video production at the event. Another highlight was the integration of live captioning, which significantly enhanced accessibility for attendees. AV Chicago provided an audio feed to a captioner, and the captions were overlaid on the on-screen visuals in real time. 

Breakout Rooms & Receptions 

While the main stage was the primary focus, AV Chicago also supported six breakout rooms and four receptions during the conference. Each breakout room was equipped with 5K projectors, 8’ screens, two QSC K12.2 speakers, a QSC Touchmix mixer, and Shure tabletop microphones to facilitate discussions and presentations during various sessions.

One breakout room was converted into a screening room for an evening screening of an independent documentary made by a GIA-affiliated filmmaker. This required additional support to guarantee the best viewing experience in the space. 

The reception area featured a compact sound system that played ambient background music while attendees networked. When additional events were scheduled, AV Chicago swiftly adapted to provide prompt AV solutions that supported the speakers and other essential components for those rooms.

This four-day conference highlighted the impact of intentional AV design and skilled execution in enhancing the event experience. From cutting-edge stage design to improved accessibility, AV Chicago offered solutions to address all of GIA’s needs. We believe AV support extends beyond technology; it’s about creating an environment that encourages the sharing of ideas without distraction, allowing every attendee to engage fully.
